What is a Template Workspace

 

A Workspace Template is a Workspace that is setup as a "template" or starting point for repeatable processes.   Templates can be helpful to those in need of multiple workspaces  structured in a similar fashion, and/or to contain identical project goals (ie. Tasks, Task Lists, Milestones), Files, Databases, etc.   Specifying a workspace to be available as a template in the Workspace Creation Wizard will set aside the workspace as a standard base configuration for creating new workspaces. 

 

Note: Workspace Templates are ONLY available to Company Plan users.

 

Generally a template can be specified as such by toggling the "Make this workspace available as a template in the workspace creation wizard?" found in the General Settings area of the workspace itself, or with the check box in the "Template" column of the Manage Workspaces page.

 

Once a workspace is selected to be available as a template, it will appear as an available Workspace Type when creating a new private workspace.

 

 

Choosing it as a start point will create a new workspace containing all of the same contents as the template minus the members and any links to their involvement with the various items and activities of the workspace. Initially the only user on the members list will be the creator of the new workspace. At this point the new workspace is then functional just as any other workspace.

 

Side Notes:

 

  • It is important to understand that when a workspace is specified as a template it is removed from a majority of a users navigational system. It will no longer be available in the Workspaces drop-down menu or via the Dashboard. The only way to navigate into a workspace designated as a template is through the Manage Workspaces area.

 

  • Also, any activities such as the tasks and events contained within a workspace designated as a template will no longer show up on their respective assignees' or participants' dashboard. This also means the activity items will not be a part of any Digest emailing or Upcoming / Recent Activity lists or notifications.

  • Once a new workspace is created, it is completely independent of the template that was used to create it. Any changes made to the base template down the road, will not result in changes to workspaces that were created using that template.
